Discovery Design partnered with Diamond Whites to support their growth through a new website, Google Ads strategy, and a bespoke tracking platform designed around their unique customer journey. Working closely with the founder, we created a solution that provided greater visibility over performance, improved tracking, and supported their continued growth.

The Challenge:

The key challenge when creating a bespoke platform was that Diamond Whites, unlike most other dentists, did not have a permanent location. Instead they had a team of nurses who would travel up and down the UK, visiting patients in multiple places.

They would hire a venue for a day, perform treatment, then move onto a different location. It was this ‘mobile service’ element that we had to consider, as the platform had to work and update dynamically when patients were searching for the next available slot.

For example, a customer could enter their postcode into the search bar, and the platform would automatically display available appointments at their nearest mobile location. This availability would update in real time based on appointment flow, ensuring that a qualified nurse was available at the chosen location before allowing the booking to be completed.

Another priority for the founder was knowing which locations were performing well, and which were less viable. This allowed the team to maximise their return on investment by ensuring popular locations, such as London, were well staffed, while reducing resources in areas where appointment demand was lower.

The Solution:

We had to work around the flow of the nurses as they could be in any location, at any time. With dentists and travelling nurses visiting clinics throughout the UK, availability wasn’t tied to a location – it also depended on where each clinician was scheduled to be on any given day.

When a customer entered their postcode, the platform needed to identify their nearest clinics and display only the appointments that were genuinely available. For example, someone searching from the North East might be shown clinics in Durham, Newcastle and Sunderland. However, if the assigned nurse was only working in Newcastle on a Monday and Durham on a Tuesday, the system had to recognise those schedules and present only the relevant appointments.

Once a customer had booked, their details were transferred into a bespoke back-office system, creating a customer record. Rather than relying on an off-the-shelf platform packed with unnecessary features, we built the system around the client’s exact requirements.

This is one of the key benefits of bespoke dental software. As the platform was built specifically for the business, we created tailored reports rather than generic analytics. The reporting dashboard tracked the metrics that mattered most to the client, including abandoned bookings, no-show and cancellation rates, appointment lead times, travel distances and clinic popularity.

Furthermore, unlike a traditional dental practice, understanding how far patients were willing to travel was essential so we also developed visual reporting tools, including geographic heat maps, enabling the team to identify their busiest locations. Availability reports also highlighted clinics with consistently unfilled appointment slots, helping the business decide where to increase resources and where to reduce them.

By turning complex data into insights the team could use, the system enabled the client to make informed decisions that improved efficiency and reduced wasted resources.
